- Name and email address — provided when you use the chat assistant to send a message or book a call
- Chat messages — the content of your conversation with our website assistant
- Technical data — your IP address, browser type, and referring page, collected automatically by our web server for security and operational purposes
How we use your data
We use your data for the following purposes:
- To respond to your enquiry or message
- To schedule and manage consultation calls
- To send calendar invitations via Microsoft Teams
- To maintain the security and performance of our website
Lawful basis for processing
We process your personal data on the basis of legitimate interest (responding to your enquiry and maintaining website security) and, where you book a call, on the basis of taking steps at your request prior to entering into a contract.
Third-party services
We use the following third-party services which may process your data:
- OpenAI — to power our chat assistant. Chat messages are sent to OpenAI's API for processing. See OpenAI's privacy policy.
- Microsoft Graph / Teams — to create calendar events and meeting links when you book a call. See Microsoft's privacy statement.
- Google Fonts — to serve web fonts. See Google's privacy policy.
Data retention
Chat messages are processed in real time and are not stored beyond the duration of your browser session. Contact form submissions (name, email, message) are retained for up to 12 months to allow us to respond and follow up. Server logs containing IP addresses are retained for 30 days.
Your rights
Under UK GDPR, you have the right to access, rectify, erase, restrict processing of, or object to the processing of your personal data. You also have the right to data portability and the right to lodge a complaint with the Information Commissioner's Office (ICO).
